Application Requirements

Terms and conditions

The following terms and conditions set out the legal rules applicable to the JSTS 2017 event. Participants shall be bound by these terms and conditions upon registering for the event and are advised to read and understand these terms carefully before registering. The organiser will not accept any conditions contradictory to or deviant from these general terms and conditions.


Responsible for the organization of the event is National Institute of Technology (hereinafter called “NIT”), Toyohashi University of Technology, Nagaoka University of Technology and Turku University of Applied Sciences (TUAS).


Responsible for hosting the event is NIT Kumamoto College, located in Kumamoto, Japan.

Entry Fee

Total : 57,000Yen

The registration fee includes 8% sales-tax.

Travel expenses are excluded from the registration fee and result in additional expenses. Accommodation and meal expenses (3 / day) are included in the registration fee, starting from supper on Day 1 (22nd May) until breakfast on Day 9 (30th May). Travel fee will be paid by participating students.

How to Apply for JSTS 2017


A participant must therefore make use of the official coordinating person of the institution he/she belongs to in order to ensure institutional support and a valid registration process. Application of JSTS2017 will be collected by own institution’s coordinator and the coordinator must sent the application to Kumamoto College by email. Participants will receive a confirmation of the registration details from Kumamoto College. If you do not obtain anything, please send an email to contact person as indicated on the event website to make sure that the organiser has received your booking. Registration will only be effective on receipt of the registration fee by international banking payment.

Peyment of the Entry Fee

All students who will participate in JSTS2017 are requested to pay registration fee (57,000Yen) in advance of JSTS2017. We require using international bank transfer when registering for this seminar. The detailed bank information is to be announced by email to each of applicant. Once Kumamoto College confirms your payment for registration, you will receive a message that the transaction was successful. All payments are done in Yen.

Cancellation Policy

For cancellations until 21st April, 2017, we will not impose cancelation fee. For later cancellations, 10% of room charge will be imposed. Kumamoto College will refund registration fee without cancelation fee, but the person who wants to cancel registration must owe the service fee for the cancellation and the commission on remittance. Participants, who do not cancel and do not attend, will still be responsible for the full registration fee. The participant has the right to appoint a substitute at any time without additional cost.

The organiser reserves the right to modify the content of the program, the speakers and the times of presentations. If the number of participants is insufficient, the organiser reserves the right to cancel the seminar and all related products and/or services without any liability on his part. In the case of a cancellation by the organiser participants will be reimbursed the registration fee actually paid.


Visa Application

Each participant who are requested to apply visa to enter Japan should inform host institution by emailing to before 7th April 2017. Furthermore, organiser strongly recommend the participants who need visa to enter Japan to peruse the website about residing in Japan (

Conference Language

The event official language is English.


The organiser does not accept liability for the up-to-dateness, correctness and completeness in respect to event documentation and content. The organiser will not assume any responsibility whatsoever for any damage or injury to persons or property during the seminar.

Photographs, video-streaming, etc.

The organiser may free of charge and without the further consent of the participants use and release pictures and shots taken of the participants and/or their works (such as posters, excerpts of presentations or lectures) during the event for reports of the event and announcement of events in future. The organiser may audio and/or video tape the sessions and the tapes may be published in our newsroom. Speakers who do not wish to give permission please email before the commencement of the event.

Privacy Policy

All personal data provided to the organiser for registration will be treated as confidential. The data shall be used and stored for further processing and documentation purposes. The information will not be re-used for an incompatible purpose. Data shall be delivered to assigned service providers, as deemed necessary for the successful performance of the event. The organiser will only disclose information to third parties if that is necessary for the fulfilment of the purpose(s) identified above.

Severability Clause

If any provision of these Terms and Conditions is found to be invalid, the invalidity of that provision will not affect the validity of the remaining provisions of these Terms and Conditions, which shall remain in full force and effect.


All agreements between the organiser and the participant and all disputes which may arise between the organiser and the participants shall be exclusively subject to Japanese law. Court of jurisdiction shall be Japan, if not otherwise required by the Basic Consumer Act.
